Define how the building will be used
Describe whether the project is a warehouse, workshop, retail space, office, metal building or new construction. Identify conditioned areas, storage-only areas and spaces occupied during normal operations. A proposal should separate roof, wall and other application areas instead of relying only on the building floor area.
Prepare a practical request for an insulation quote
- Site address, building use and the person authorized to approve the scope.
- Plans, roof and wall construction, dimensions and available specifications.
- Working height, access routes, loading arrangements and equipment restrictions.
- Machinery, stock, services and finishes that need protection or relocation.
- Operating hours, occupancy constraints and the proposed project schedule.

Separate the building scope from operating arrangements
Identify the surfaces included, existing materials, substrate preparation and any repairs by others. Then record who is responsible for moving stock, providing access and coordinating occupants. If work must be phased, show the areas and times that can be released to the installation team. Ask how changes to access or the work area will be handled in the estimate.
Specify the insulation and any additional layers
Request the product, application areas, installed thickness or performance requirement, and any specified coating or protective layer in writing. The proposal should identify exclusions clearly. Compare spray foam installation options against the actual assembly and use of the building; a photograph alone does not verify product selection or installed thickness.
Coordinate installation with other trades and occupants
Discuss roof, electrical, mechanical and other work that affects access to the surfaces. Confirm the preparation required before the insulation crew starts and the checks needed before other trades cover the work. Request the applicable ventilation, occupancy and re-entry instructions, and assign a contact who can communicate them to staff and other contractors.
Review completion documents and future work
Agree on the installation areas to review, cleanup expectations, product documentation and warranty terms. Record any agreed exclusions or follow-up work.
